ZivoCloud privacy policy

This policy covers ZivoCloud and its modules — Zivo Tutor, Spelling Bee, Zivo Games, Foreign Languages and RoboCode. Conversations over WhatsApp are covered separately in our WhatsApp privacy notice.

What we collect

Your account. Your name, email address, country and the role you hold. Where a school sets up the account we also hold the school and class you belong to.

Your learning. The work you do on the platform: answers and scores, which lessons and stories you have opened, words you have practised, and the projects, circuits and code you write in RoboCode. Teachers can see the work of learners in their own classes.

Payments. The plan you bought, the amount, the date and the Paynow reference. We never receive or store your card number, your wallet PIN or your mobile-money credentials — those go directly to Paynow.

Messages to us. What you send through the contact page or support, so we can answer you.

Technical records. When something breaks we record what failed, the page it happened on, and basic browser and request information, so we can fix it. These records are kept on our own servers and are automatically stripped of passwords, tokens and similar secrets.

We do not sell personal data, and we do not use learners’ work to advertise to them.

Why we use it

To run your account and keep it secure; to teach — showing the right lesson, marking work and tracking progress; to let a teacher follow their own class; to take payment and send receipts and reminders; to answer your messages; and to find and fix faults. We also use aggregate figures, which do not identify anyone, to understand which parts of the platform are used.

Children

ZivoCloud is built for school-age learners. Accounts for under-18s are created and managed by a parent, carer or school, and that adult can ask us at any time for access to, correction of, or deletion of the learner’s data.

We ask for as little as the platform needs to teach. Learners are not shown advertising, and their work is visible to their own teachers and to our platform administrators, not to other learners outside the features designed for it.

Who else handles your data

We use a small number of companies to provide parts of the service. They act on our instructions:

Paynow — takes payments. It receives what a payment needs and returns a reference and a result.
Resend — delivers our email, such as receipts, reminders and account messages.
Google — provides the Gemini models behind our AI explanations, marking and generated practice material. The question or work being explained is sent to that service so it can respond.
Meta — only if you choose to message us on WhatsApp. See the WhatsApp privacy notice.

If you connect an assistant such as Claude or ChatGPT to your ZivoCloud account, that assistant can read the data you give it access to, for as long as you leave the connection in place. You start that connection yourself and can remove it in your settings.

We may also disclose data where the law requires it, or to protect someone’s safety.

Where your data is kept

Accounts, learning records and projects are stored in ZivoCloud’s own database on servers we operate, rather than with a third-party platform. Access is limited to the platform administrators who need it, and credentials are encrypted in storage. The companies listed above hold only the data their part of the service needs, and may process it in a country other than your own.

How long we keep it

We keep your account and learning records while your account exists, so your progress is still there when you return. Payment records are kept for as long as we are required to keep financial records. Technical error records are rotated and deleted within about 90 days. When you ask us to delete an account we remove it and its learning records, apart from anything we must keep by law.

Your rights

You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Where a learner is under 18, a parent, carer or the school can ask on their behalf. We may ask you to confirm who you are before we act, so that nobody else can make a request about you.

Cookies

We use cookies to keep you signed in and to remember choices such as light or dark mode. We do not use advertising cookies. Clearing them signs you out and forgets those preferences.

Changes

If we change this policy we will update the date at the top of this page, and tell account holders by email where the change matters.
